You will act as the first point of contact for pet owners—handling calls, scheduling appointments, managing follow-ups, and ensuring a smooth client experience. This role requires strong communication skills, confidence on the phone, and the ability to stay calm when assisting concerned or emotional clients. ### **Key Responsibilities** **Client Communication** Answer incoming calls with professionalism, empathy, and clarity Support pet owners with questions and appointment coordination **Scheduling & Calendar Management** Schedule, reschedule, and confirm appointments Ensure efficient calendar utilization based on clinic needs **Follow-Ups & Coordination** Follow up on missed calls, voicemails, cancellations, and no-shows Route messages to the appropriate clinic staff **Administrative Support** Maintain accurate client and patient records Support inbox management, reminders, and daily admin workflows **Client Experience** Deliver a calm and supportive tone aligned with veterinary care standards Handle high call volumes while maintaining quality service ### **Key Qualifications** • +3 years of experience in customer service, receptionist, or scheduling roles • Experience in veterinary, medical, or high-volume service environments (preferred) • Strong phone presence and ability to manage frequent calls • Comfortable using CRM systems, scheduling tools, and digital platforms • High attention to detail and strong organizational skills • Fluent English (spoken and written) • Spanish is a strong plus • Reliable remote setup with stable internet • Available to work full-time in U.S. time zones * Professional and quiet remote work setup (PC) with reliable high-speed internet. * Strong Zoom presence and polished communication skills. * Ability to balance client interactions with administrative responsibilities. * Submission of an introductory video is required as part of the hiring process.
