This is a fully remote position for the role of Spanish-Speaking Property Management Operations VA.

Due to the fully remote nature of this role, it is important that candidates are comfortable communicating on video calls.
Role Summary
This role exists to take operational pressure off the owners by owning the day-to-day execution of rental property operations across listings, tenant coordination, rent tracking, maintenance coordination, and lease administration.
You will be the operational follow-through layer between tenants, vendors, platforms, and ownership. That means you are expected to keep workflows moving without waiting to be told every next step.
This is not a passive admin role. You will manage multiple active properties, communication channels, and deadlines simultaneously while maintaining clean records and fast response times.
Success in this role looks like:
Listings staying active and competitively priced
Tenants getting timely responses without owner involvement
Rent payments being accurately tracked
Maintenance requests getting resolved without constant follow-up from ownership
Lease timelines being proactively managed before issues happen
You will work inside structured workflows, but you are also expected to notice breakdowns, gaps, delays, and repetitive friction points and flag them early.
This role is not for candidates who:
need constant supervision
struggle with fast-moving operational environments
miss details across multiple systems
become overwhelmed switching between tasks and communication channels
Fluent Spanish communication is mandatory because you will coordinate directly with tenants and vendors.
Research rental comps across Zillow, TurboTenant, Craigslist, MLS, and Facebook Marketplace before listings go live or pricing changes are considered
Compare pricing based on location, property condition, amenities, unit size, and nearby competition
Prepare pricing summaries the owners can review quickly without rechecking the raw data themselves
Monitor active listings and flag when pricing adjustments are needed due to low engagement, market movement, or stronger competing listings
Create and maintain accurate property listings across TurboTenant, Zillow Rentals, Furnished Finder, and Facebook Marketplace
Upload and organize listing photos, descriptions, amenities, pricing, and unit details
Monitor listing performance and identify when listings are underperforming
Respond to tenant inquiries within 24 hours using approved messaging templates
Send pre-screening forms and coordinate showing schedules without requiring owner involvement for routine communication
Keep listings updated immediately when availability, pricing, or unit status changes
Send and track pre-screening questionnaires for all inbound applicants
Review submitted applications, income documents, employment information, rental history, and references
Coordinate background and credit checks
Organize applicant documentation so ownership can make decisions quickly
Flag qualified applicants and summarize risks, missing documentation, or inconsistencies
Coordinate lease preparation and e-signature collection
Coordinate inspection scheduling, move-in dates, and onboarding timelines
Ensure units are ready before tenant occupancy by following up on pending maintenance or cleaning items
Prepare and organize onboarding documents and welcome packets
Verify all required signatures and documentation are completed before move-in
Track key handovers and maintain organized move-in records
Send rent reminders and payment follow-ups proactively
Monitor incoming payments across Zelle, ACH, and bank transfer platforms
Maintain accurate payment records without missing partial payments, late payments, or discrepancies
Issue receipts and flag overdue balances immediately
Assist with late notices and escalation workflows when tenants stop responding or fall behind
Log and categorize maintenance requests by urgency level
Coordinate directly with vendors through WhatsApp, email, and phone communication
Schedule repairs and follow through until work is completed
Follow up with tenants after repairs to confirm resolution
Maintain updated maintenance records inside TurboTenant and related systems
Escalate unresolved vendor issues instead of allowing requests to stall
Track lease expiration timelines and send notices on schedule
Coordinate renewal documentation and tenant communication
Schedule move-out inspections and coordinate timelines with vendors or cleaners when needed
Organize condition reports, supporting photos, and documentation
Track deposit deductions and refund workflows accurately
Manage communication across Gmail, CRM systems, WhatsApp, and rental platforms simultaneously
Keep tenant, vendor, and property records updated in real time
Respond to routine operational inquiries without waiting for owner approval
Ensure communication remains organized, documented, and traceable across systems
Coordinate utility setup before tenant move-ins
Manage utility transfers and cancellations during tenant transitions
Track account statuses and prevent service interruptions
Maintain organized utility documentation and account records
Fluent Spanish communication skills — verbal and written
Prior hands-on property management operations experience
Experience handling tenant communication directly
Experience coordinating vendors, maintenance requests, and operational follow-through
Experience working inside multiple platforms simultaneously without losing task visibility
Ability to manage deadlines, follow-ups, and documentation independently
Strong written communication with fast response times
High attention to operational detail and record accuracy
Comfortable working in a fast-paced remote environment with US-aligned hours
Able to operate without daily step-by-step supervision
Must proactively escalate issues instead of waiting for ownership to discover problems
Must be comfortable handling repetitive operational work consistently without quality dropping
Candidates without direct property management operations experience will not be considered.
