Compensation: USD 1,500 - 1,900/month
Schedule: Monday to Friday, U.S Time Zone (MST or EST)

Responsibilities:
Own complex calendar and inbox management across three companies, using prioritization judgment (not just scheduling)
Act as a gatekeeper and decision-support partner by triaging requests, drafting responses, and recommending next actions
Prepare and organize board materials, executive reports, and leadership documentation with strong accuracy and confidentiality
Track cross-company projects, deliverables, and deadlines so critical work is visible, moving, and completed on time
Coordinate cross-functional initiatives by aligning stakeholders, running follow-ups, and removing execution blockers
Improve internal workflows by documenting processes, streamlining recurring work, and introducing more efficient systems
Support basic bookkeeping workflows in QuickBooks, including transaction categorization and operational finance admin
Provide light marketing/admin coordination (task-based execution support, not strategic ownership)
Help drive internal AI adoption by identifying repeatable work, testing tools, and creating simple playbooks for team usage
Maintain high-quality operational “runway” for the executive: meeting prep, context briefs, and proactive reminders that prevent surprises
Requirements
4–8+ years of experience supporting senior executives (ideally supporting multiple leaders or operating across multiple business lines)
Proven operational ownership beyond admin support (you’ve improved workflows, built systems, or made execution measurably smoother)
Strong calendar and inbox management with real prioritization judgment and confidence making calls within agreed guardrails
Experience preparing executive-ready materials (board decks, reports, leadership documentation, meeting briefs, or similar)
Track record of coordinating cross-functional work and driving follow-through in fast-changing, ambiguous environments
Comfort with tools and systems (task/project management, documentation, collaboration tools) and a curiosity about AI for efficiency
Nice-to-have:
Experience supporting board-level stakeholders directly (board meetings, governance materials, investor-style reporting, etc.)
Exposure to QuickBooks and basic bookkeeping workflows (categorization, reconciliation support, finance admin)
Experience working in multi-entity environments (holding companies, multiple brands, multiple legal entities)
Background in or exposure to financial advisory, accounting/advisory, or e-commerce/retail operations
