👀 Who We Are Looking For

This is an entry-level role, ideal for someone in the first 1-2 years of their career or a recent graduate. You will not be sourcing, screening, or interviewing candidates. Your job is to keep our recruiting process organized, post job ads, get resumes into our ATS, make sure interviews happen on time, and give every candidate a smooth, professional experience from first contact to offer.

If you've worked in customer service, as an executive assistant, in administrative support, or in any role where you juggled lots of moving pieces and people, you'll likely thrive here. We're looking for someone organized, reliable, and excited to learn the recruiting world from the ground up.

If you have 3+ years of recruiting or HR experience, this role is a step down from where your career should be going. We'd love to stay in touch for future Recruiter roles instead.

This role operates in a fast-paced startup environment with shifting priorities, high collaboration, and a high volume of recruiting activity.

📋 Responsibilities

  • Post job openings to LinkedIn, Indeed, and other job boards, and refresh listings as needed

  • Download candidate resumes from job boards and email, and upload them into Ashby ATS

  • Coordinate interview scheduling across multiple calendars and time zones

  • Manage candidate communication throughout the interview process (confirmations, reminders, follow-ups)

  • Maintain and update candidate records in Ashby ATS so every applicant is properly logged and tagged

  • Create and manage interview scheduling workflows

  • Ensure a smooth and professional candidate experience

  • Track recruiting tasks, follow-ups, and interview logistics

  • Help maintain recruiting process documentation and organization

  • Support recruiters and hiring managers with day-to-day recruiting administration

  • Assist with recruiting projects and ad hoc operational needs

✅ Ideal Background

  • 0 to 1 years of professional experience (recent graduates encouraged to apply)

  • Customer service, administrative support, executive assistant, or coordination experience is a plus

  • Strong written communication and organization skills

  • Comfortable operating in a fast-paced, high-growth startup environment

  • Able to manage multiple priorities and quick turnaround times

  • Detail-oriented and reliable with strong follow-through

  • Comfortable working cross-functionally with recruiters, hiring managers, and candidates

  • Strong calendar management and scheduling skills

  • Familiarity with Ashby ATS or any other ATS platform is a nice-to-have, not required
