Job Title: Estimator - Flooring - Coordinator (Construction)

Location: Remote (Latin America)

Working Hours: Full-Time, Monday to Friday 7.30 am to 4.30 pm EST

Compensation: 1,800 - 2,000 USD per month (based on experience)

The Opportunity

We are seeking a fast-paced, highly communicative, and detail-oriented Estimator Coordinator to be a critical link between our clients, in-house estimating team, and remote pricing department. This role is essential for ensuring the timely and accurate completion of bids by managing the coordination, communication, and administrative aspects of the estimating process.

The focus of the role is on coordination, liaison, and maintaining a rapid workflow. The ideal candidate thrives in a high-pressure, constantly evolving environment and is highly proactive.

KEY RESPONSIBILITIES

The Estimator Coordinator will act as a central coordinator for the bid process, ensuring seamless communication and workflow management. Responsibilities include:

BID COORDINATION & CLIENT COMMUNICATION

  • ITB Management: Act as the primary liaison between the in-house estimating team and clients. Receive, analyze, and manage Invitations to Bid (ITB) to ensure a smooth pipeline.

  • RFI Management: Oversee the Request for Information (RFI) process. Review queries from the estimating team regarding blueprints, scope, or quantities, discuss them with clients to secure timely answers, and relay resolutions back to the team.

  • Deadline Management: Rigorously track all bid deadlines, ensuring the estimating and pricing departments remain aligned and on schedule to meet submission timelines.

VENDOR & PROPOSAL MANAGEMENT

  • Proactive Vendor Outreach: Call vendors and suppliers directly to request pricing when email communication is insufficient or urgent turnaround is required.

  • Quality Control: Conduct thorough quality control reviews on proposals received from vendors and the internal estimating department to ensure accuracy.

  • Proposal vs. Takeoff Comparison: Support the estimating team by comparing vendor proposals against project takeoffs as required to identify discrepancies.

ESTIMATING & PRICING SUPPORT

  • Emergency Takeoffs: Provide agile support by conducting emergency takeoffs and measuring square yardage/footage when unexpected project needs arise.

  • International Team Coordination: Manage the workflow and data pipeline for the remote, India-based pricing department. Ensure they have all necessary information and documentation to fulfill pricing requests efficiently.

TECHNICAL SKILLS & INDUSTRY KNOWLEDGE

  • Commercial Flooring Expertise: Quickly master and utilize fundamental commercial flooring terminology to communicate effectively with both technical estimators and external clients.

  • System Management: Become super-proficient in the company’s proprietary bid tracking software (Joint AI system) to accurately log, track, and manage the status of all active bids and takeoffs.

REQUIRED QUALIFICATIONS & SKILLS

Must have:

  • Proven background in construction project coordination, or a related administrative field. Minimum 2 years of experience in a similar role.

  • Mandatory experience in the construction industry.

  • Exceptional Communication Skills (English): The ability to speak and communicate clearly and fluently with US-based customers and internal teams is absolutely critical for success in this role.

  • Strong organizational and time management skills. Must be comfortable with a dynamic environment where priorities can shift quickly.

  • Proven ability to manage multiple simultaneous tasks, prioritize effectively, and coordinate between several internal and external stakeholders.

  • Proactive and Curious Mindset: Must be a self-starter who asks necessary questions, demonstrates curiosity, and is keen to understand processes rather than simply agreeing to instructions.

  • High level of accuracy and attention to detail.

  • Competency with Microsoft Office Suite (Outlook, Teams)

  • Ability to understand basic construction documentation (blueprints/takeoffs) and RFIs, even without being a technical estimator.

  • Ability to learn and master the technical software and Flooring Terminology.
