The company provides tailored solutions to meet diverse client needs, ranging from administrative support and accounting to specialized roles like digital marketing and graphic design, as long as the work can be done remotely.
We are seeking a highly disciplined, detail-driven Bookkeeper to take full ownership of financial records across a growing, multi-location studio environment. This is not a transactional or data-entry role — it requires end-to-end control of the books, from daily journal entries through executive-level monthly financial reporting.
You will be the single point of accountability for the integrity of our client's books. You will manage QuickBooks Online as the system of record, reconcile multiple bank, credit card, and loan accounts, match Stripe payment processor deposits against revenue reports from Mariana Tek (the studio management platform), and deliver a complete monthly financial statement package to C-Suite leadership. Your work directly supports decisions about expansion, pricing strategy, and investor reporting.
This role is best suited for a bookkeeper who has already closed books independently for at least three years, who treats reconciliation discrepancies as puzzles to solve rather than items to defer, and who can produce a clean Balance Sheet and Income Statement without being walked through it. You will operate with significant autonomy — leadership expects the books to be current, accurate, and audit-ready without prompting.
Multi-location accounting is central to this role. Revenue must be allocated correctly across studio locations, and the bookkeeper must understand how to track membership income, class pack sales, retail, events, and teacher training separately. Familiarity with fitness or wellness CRM platforms is strongly preferred because the revenue allocation work is where most candidates without prior service-business experience struggle.
Financial Management & Reconciliation
Own and manage QuickBooks Online (QBO) including all journal entries and account categorization
Reconcile bank accounts and credit cards monthly with full accuracy and supporting documentation
Perform monthly balance sheet account reconciliations with complete workpapers
Reconcile Stripe transactions and match deposits to revenue reports from Mariana Tek
Manage and reconcile loan account activity on a monthly basis
Reporting & Insights
Prepare and deliver a full Monthly Financial Statement Package: Balance Sheet, Income Statement, Trailing 12-Month Income Statement, and location-level breakdowns
Flag and clearly explain variances, trends, and anomalies to management in writing
Support cash flow reporting and forecasting
Develop and maintain budgets in collaboration with leadership
Prepare financials for investor packages and strategic planning as needed
Revenue & Subscription Allocation
Review and enter Mariana Tek revenue reports into QBO accurately and consistently
Allocate subscriptions across studio locations with precision
Track and categorize income from memberships, class packs, teacher training, events, and retail
Vendor & Expense Management
Process and schedule vendor payments on time
Track recurring subscriptions and ensure timely payment
Maintain organized digital records of all vendor invoices and payment history
Monitor expense categories and identify efficiency opportunities
Payroll & Contractor Oversight
Prepare and enter payroll data into Paychex and QBO for timely processing
Track contractor payments and support year-end 1099 reporting
Ensure compensation aligns with studio policies
Compliance & Special Projects
Support audit requests and tax preparation in collaboration with the CPA
Assist with licensing, insurance, and sales tax filings as needed
Maintain audit-ready financial records
Lead financial components of studio expansion, new programming, or pricing model changes
Requirements
3+ years of full-charge bookkeeping experience managing the complete bookkeeping cycle independently
Demonstrated experience producing monthly financial statements without supervision
Strong proficiency in QuickBooks Online — journal entries, categorization, balance sheet reconciliation
Strong Excel skills (formulas, pivot tables, variance analysis)
Hands-on experience reconciling payment processor deposits (Stripe, Square, or similar) against a separate revenue system
Deep understanding of accounting principles, general ledger management, and reconciliation methodology
Excellent attention to detail — accuracy is non-negotiable in this role
Clear written and verbal English to explain financial concepts to non-finance stakeholders
Discretion with confidential business and financial information
Comfort working independently with minimal supervision
Mariana Tek experience, or familiarity with comparable fitness/wellness CRM platforms (Mindbody, ClubReady, Glofox)
Paychex experience for payroll processing
Prior experience supporting a multi-location or service-based business
Experience preparing financials for investor packages or audit support
