About the Role
As our Workers’ Compensation Legal Assistant, you’ll be the steady engine behind a busy caseload (about 50 to 100 matters), supporting attorneys across both non-litigation and litigation work. You’ll be the primary point of contact for clients, responsible for clear, consistent communication and proactive case movement aligned with firm standards and KPIs. This role is ideal for someone who takes pride in exceptional client experience, organized execution, and advocating for better outcomes through strong case management.
Responsibilities
Own day-to-day progression of a 50 to 100 case caseload by proactively tracking next steps, deadlines, and blockers
Maintain a high-touch client experience by providing updates every two weeks and responding to client communications within 24 hours
Support attorneys in building action plans by reviewing case facts and coordinating the new-client call within 24 hours of assignment
Drive medical treatment progress by monitoring referrals, authorizations, and appointment logistics (including transportation and interpretation when needed)
Help maximize client benefits by reviewing wages and tracking income benefits (TTD, TPD, PPD) to ensure accuracy and full payment
Request and follow up on WC-102-related documents such as medical records, physician panels, and wage information
Coordinate time-sensitive litigation events, including depositions, mediations, IMEs, hearings, and related notices
Communicate with adjusters and opposing counsel to move authorizations forward and keep cases progressing
Draft and organize key documentation such as notices, stipulations, cover letters, settlement/demand materials, and case-related correspondence
Keep Filevine updated with accurate notes, documents, contacts, and case phases so the full team always has real-time clarity
Requirements
Must-Have:
2+ years of experience supporting workers’ compensation matters (litigation and/or non-litigation)
Proven ability to manage a high-volume caseload while staying organized and responsive
Strong client communication skills and confidence explaining timelines, next steps, and expectations
Working knowledge of workers’ comp case management, including medical treatment flow and income benefits
Experience preparing and coordinating depositions, mediations, hearings, and client scheduling logistics
High attention to detail in documenting case activity and maintaining clean, accurate files
Comfort working in a case management system (Filevine strongly preferred)
Nice to Have:
Filevine proficiency
Bilingual English/Spanish
Experience drafting and filing Workers’ Compensation Board forms, motions, and discovery materials with attorney oversight
Familiarity with ICMS workflows (initiating claims, submitting withdrawal notices, etc.)
Experience tracking liens, loans, provider balances, and case-related expenses
