Business Automation & AI Specialist

This role is open to candidates based in LATAM, Africa, and Eastern Europe. Please note that as this role supports U.S.-based clients, candidates must be available to work during U.S. business hours aligned with the client's time zone.

The Business Automation & AI Specialist will analyze existing business processes and build AI-powered solutions that make them more efficient.

This is a hands-on role focused on identifying automation opportunities and turning them into working solutions. Initial areas of focus will include automating quotations, streamlining vendor communications, reducing accounting data entry, and identifying additional opportunities for automation throughout the organization.

Key Responsibilities

Business Process Analysis & Automation Discovery

• Analyze existing workflows across operations, accounting, vendor management, and other business functions.

• Meet with stakeholders to understand how work is currently completed.

• Map manual processes, bottlenecks, repetitive tasks, and unnecessary handoffs.

• Identify high-impact opportunities where AI or automation can reduce manual workload.

• Prioritize potential projects based on business impact, complexity, risk, and expected time savings.

• Translate operational challenges into clear technical requirements and implementation plans.

Quotation Automation

• Design and implement systems that automate or significantly streamline the quotation process.

• Automate the collection and organization of information required to prepare quotations.

• Reduce repetitive data entry involved in quotation creation.

• Build workflows that improve quotation speed, accuracy, and consistency.

• Establish appropriate review and approval steps before quotations are finalized or sent.

• Continuously improve quotation workflows based on operational feedback.

Vendor Communication Automation

• Build AI-powered workflows to streamline recurring vendor communications.

• Automate appropriate email drafting, follow-ups, information requests, and status updates.

• Create systems for organizing and tracking vendor communications.

• Help teams quickly identify communications that require human attention.

• Integrate vendor communication workflows with relevant internal systems where appropriate.

• Maintain human review and escalation processes for sensitive or high-impact communications.

Accounting & Data Entry Automation

• Analyze accounting workflows to identify repetitive manual processes.

• Build automations that reduce manual data entry and administrative work.

• Improve how financial and operational information is captured, transferred, categorized, and maintained.

• Identify opportunities to automate data movement between operational and accounting systems.

• Create validation and exception-handling processes to maintain data accuracy.

• Work with accounting stakeholders to ensure automation supports existing financial controls and requirements.

AI Solution Development & Implementation

• Research, evaluate, and implement AI tools based on specific business needs.

• Build AI agents, automated workflows, and system integrations where appropriate.

• Connect existing platforms using APIs, webhooks, automation tools, or custom development.

• Determine when AI is appropriate and when traditional workflow automation is the more reliable solution.

• Test solutions before deployment and establish safeguards for critical workflows.

• Document implemented systems so they can be maintained and expanded over time.

Import & Export Operations Support

• Develop a strong understanding of the organization's import/export workflows.

• Learn how quotations, vendors, transactions, documentation, and accounting processes interact.

• Identify industry-specific opportunities for automation.

• Work closely with operational stakeholders to ensure solutions reflect real business requirements.

• Continuously develop knowledge of the terminology, systems, and processes relevant to the industry.

Qualifications

Experience

• 3--5+ years of experience in AI implementation, automation, business systems, software development, process improvement, or a related field.

• Demonstrated experience building and implementing automations in real business environments.

• Experience conducting business or process analysis and translating findings into working solutions.

• Proven ability to take projects from initial problem identification through implementation and optimization.

• Import/export, logistics, international trade, or related industry experience is strongly preferred but not required.

Skills

• Hands-on experience with modern AI and automation technologies.

• Experience building AI-powered workflows, agents, or internal business tools.

• Familiarity with workflow automation platforms and system integrations.

• Understanding of APIs, webhooks, and data integrations is strongly preferred.

• Ability to evaluate different AI tools and determine which are appropriate for specific business problems.

• Ability to quickly learn new platforms and technologies.

• Strong ability to understand and document business processes.

• Ability to identify inefficiencies, repetitive tasks, and workflow bottlenecks.

• Ability to translate business problems into technical requirements.

• Strong systems-thinking and problem-solving capabilities.

• Ability to evaluate automation opportunities based on measurable business value.

• Knowledge of import/export operations is strongly preferred.

• Ability to quickly learn unfamiliar industries, systems, processes, and terminology.

• Strong attention to detail when working with financial and operational data.

• Ability to independently drive projects from identification through implementation.
