About the Role You’ll support a U.S.-based plaintiff personal injury practice by owning the day-to-day flow of medical bills and records: requesting, tracking, following up, receiving, and organizing documents so the legal team can move cases forward confidently. The scope may evolve based on performance and the client’s internal staffing needs, with overlap between medical records retrieval and billing-related administrative support.
Responsibilities
Own medical records and medical billing document flow for active plaintiff PI cases, ensuring nothing gets missed and everything is easy to find
Request records and itemized bills from providers, then track statuses and follow up persistently until received
Upload all incoming documents into the correct digital case file, using consistent naming and folder structure so the team can move fast
Maintain accurate, up-to-date case documentation logs and notes so the team always knows what’s outstanding and what’s complete
Support billing-related administrative tasks that may include organizing bills, identifying missing documentation, and preparing files for attorney/paralegal review
Communicate professionally with providers, clients, and internal staff, setting clear expectations and documenting next steps
Follow process and compliance requirements carefully (confidential information, secure handling, and quality checks)
Work within the client’s remote desktop/server environment as needed (likely via LogMeIn), keeping files organized and accessible for the legal team
Requirements
Must-Have:
Prior experience in plaintiff personal injury law (highly preferred)
Hands-on experience handling medical records and medical bills in a legal environment (required)
Bilingual English/Spanish (written and spoken)
Strong follow-up discipline: you don’t “set and forget” requests—you track them to completion
Excellent digital file management habits, strong attention to detail, and consistent documentation practices
Familiarity with Google Workspace (Drive, Docs, Gmail) and Microsoft Word
Nice to Have:
Experience supporting both medical records retrieval and legal billing/records support in the same role
Comfort working in remote desktop environments and server-based file structures (e.g., LogMeIn)
Familiarity with common PI case management systems (e.g., Filevine/Clio/Needles)
