Description

We are seeking an exceptionally fast-paced, highly organized, and patient-focused Virtual Medical Receptionist / Medical Administrative Assistant to manage the virtual front-end of a busy, high-volume New York-based healthcare practice. Operating in a demanding medical environment, our practice represents efficiency, rapid responsiveness, and elite patient care coordination.

This is not a passive data-entry role. This position is a dynamic, high-engagement virtual front-desk operation that requires keeping up with fast-talking New York patients without sacrificing quality or accuracy. You will serve as the primary voice and digital face of our clinic. The ideal candidate must thrive under pressure, maintain an ultra-quick response time, and possess a polished, authoritative, yet compassionate phone presence to command high call volumes and intricate administrative workflows seamlessly.

Schedule & Daily Focus

  • Schedule: Full-Time, 8:00 AM – 5:00 PM EST (New York Time)

  1. Patient Communication & Front Desk Support: Managing rapid-fire inbound and outbound calls with zero lag in response time.
  2. Appointment Scheduling & Calendar Management: Maximizing provider efficiency by optimizing the daily clinical matrix.
  3. Patient Intake & Care Coordination: Serving as the central hub for patient registration, immediate updates, and clinical continuity.

Core Responsibilities

Front Desk Operations & Intake (Top Focus)

  • High-Volume Call Management: Handle dense inbound and outbound call queues with an exceptionally professional, quick, and courteous phone presence tailored to fast-paced East Coast communication.

  • Rapid Intake Workflow: Complete comprehensive patient intake, register new patients, and verify or update demographic and insurance information in real time.

  • Strategic Calendar Optimization: Schedule, confirm, and reschedule patient appointments while masterfully balancing provider availability and coordinating automated reminders to slash no-show rates.

Insurance, Referrals & Care Coordination

  • Prior Authorizations: Process, track, and secure approvals for prior authorization requests by aggressively following up with insurance carriers.

  • Insurance Verification: Verify patient eligibility, benefits, and copays, systematically navigating complex insurance documentation.

  • Referral Routing: Direct incoming and outgoing patient referrals, coordinate with external specialists or diagnostic sources, and track completion status within the EMR.

  • Clinical Task Support: Maintain meticulous patient records, log communication notes within Enable Healthcare EMR, and proactively assist on-site providers with remote administrative support.

Requirements

  • Domain Expertise: Minimum 2+ years of experience as a Medical Receptionist, Medical Assistant, Patient Care Coordinator, or Healthcare Customer Service Rep within a busy specialty or primary care practice.

  • Phonetic & Verbal Excellence: Flawless English communication skills with a clear, sharp, and highly professional speaking voice. Must be an agile listener capable of matching the quick verbal pace of a New York clientele.

  • Software Literacy: Experience utilizing Enable Healthcare EMR is highly preferred. Comfort navigating virtual VOIP telephone platforms smoothly is required.

  • Insurance & Referral Fluency: Direct, practical experience processing prior authorizations, managing medical referrals, and handling insurance verifications.

  • Candidate Profile: Female candidate preferred. Bilingual (English/Spanish) fluency is a strong advantage. Must be deeply proactive, accountable, and capable of working independently in a completely silent, distraction-free virtual home office.
