We are seeking a highly professional, organized, and patient-focused Virtual Patient Coordinator & Medical Administrative Assistant to support a client's rapidly growing surgical and aesthetics practice. This hybrid role is designed for a sharp administrative specialist who can seamlessly manage the front-end revenue cycle while providing an elite, concierge-level experience for our patients.
The primary anchor of this position is Insurance Verification and Patient Financial Communication. You will be the guide for patients navigating the complex insurance pathways of bariatric surgery, general surgery, and cosmetic treatments. Because you will be managing a high volume of inbound and outbound calls, you must possess a polished, compassionate phone presence, a deep understanding of medical coverage models, and the ability to build immediate trust in both English and Spanish. **Core Responsibilities:
Insurance Verification & Financial Counseling (Primary Focus)**
End-to-End Verification: Extensively verify both in-network and out-of-network insurance benefits, meticulously calculating patient eligibility, deductibles, co-pays, co-insurance, and structural authorization requirements.
Financial Communication: Translate complex insurance breakdowns into clear, transparent, and easy-to-understand financial explanations for patients, helping them understand their out-of-pocket responsibilities.
Proactive Risk Mitigation: Identify potential insurance roadblocks, missing documentation, or coverage limitations that could delay a patient’s surgical scheduling or aesthetic treatment.
Meticulous Charting: Log all verified insurance details, authorization trackers, and patient financial agreements accurately within Practice Fusion EMR.
Patient Communication & Phone Support
Dual-Language Call Management: Command inbound and outbound phone queues with a warm, professional, and empathetic tone in both English and Spanish.
Patient Journey Advocacy: Act as the central point of contact for patient inquiries regarding surgical consults, aesthetic procedures, pre-operative instructions, and clinic policies.
Patient Conversion: Leverage excellent customer service and consultative communication to confidently convert inquiry calls into booked consultations and scheduled procedures.
Surgical Scheduling & Care Coordination
Calendar Management: Coordinate and optimize complex multi-provider appointment grids, seamlessly mapping out initial consultations, pre-op checks, surgical blocks, and aesthetic follow-ups.
Referral Tracking: Track incoming physician referrals and coordinate outbound requests, ensuring patient charts are fully prepared and compliant ahead of their appointments.
Requirements
Required Qualifications (Non-Negotiable)
Bilingual Mastery: Absolute verbal and written fluency in both English and Spanish. Must be capable of effortlessly discussing complex medical-financial details in both languages.
Healthcare Experience: Minimum 1+ years of experience supporting a U.S. medical office, healthcare clinic, or remote medical staffing environment.
Insurance Fluency: Proven, hands-on experience navigating insurance portals, deciphering benefit summaries, and executing rigorous eligibility verification.
Remote Infrastructure: A dedicated, distraction-free home office setup equipped with high-speed internet, a reliable computer setup, and a professional noise-canceling headset.
Strongly Preferred Experience
Direct experience supporting Bariatric Surgery, General Surgery, or Medical Aesthetics practices.
Daily operational familiarity with Practice Fusion EMR.
Deep working knowledge of both In-Network (INN) and Out-of-Network (OON) commercial insurance models.
Prior experience with high-touch patient conversion, elective surgery sales, or premium care coordination.
