Role Overview
The Sales Admin plays a key support role in helping move opportunities from inbound lead to signed agreement and smooth handoff to internal teams. This person will support proposal development, contract tracking, lead coordination, CRM hygiene, and sales follow-up processes. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple deadlines in an extremely fast-paced environment
Key Responsibilities
1. Contract Management
- Prepare, send, and track contracts for signatures, ensuring timely execution.
- Maintain a structured system for contract storage and retrieval.
- Follow up on outstanding contracts to minimize delays in the sales process.
2. Proposal Creation
- Support inbound lead management by organizing new inquiries, scheduling meetings, and updating CRM records
- Assist with lead qualification research based on predefined criteria
- Maintain accurate pipeline visibility and ensure records are up to date
3. Lead & CRM Coordination

4. Sales Handoff Coordination
- Help coordinate smooth handoff from sales to delivery/operations by ensuring key client details and next steps are documented
- Track internal action items following calls, proposals, and signed agreements
- Identify process gaps and recommend improvements to keep deals moving efficiently
Qualifications
- 2+ years of experience in sales support, coordination, customer success, or administrative roles
- Strong organizational skills and attention to detail
- Excellent written and verbal communication
- Experience with CRM systems and proposal/contract tools (e.g. HubSpot, PandaDoc, or similar)
- Proactive, process-oriented and possess the ability to manage multiple priorities and deadlines at once
