EXECUTIVE ASSISTANT (FINANCE)
Location: Remote - Latin America
working hours: 8 am to 5 pm EST - Monday to Friday (40 hours a week)
Compensation Range: $1,800–$2,200 per month (based on experience)

We are a financial operations and fractional CFO services firm with nearly 8 years of experience. We serve approximately 50 clients across multiple franchise systems, providing monthly accounting, CFO work, and project-based services. We're a small, growing team based across multiple time US zones.
Role Overview
We're seeking an experienced Executive Assistant to support our leadership team (2 principals) and help us scale our operations. This is a high-impact role that requires someone who can independently establish operational rhythms and workflows without extensive guidance. You'll be responsible for freeing up leadership time so they can focus on high-value client work and business growth.
Key Responsibilities
- Email & Calendar Management: Manage inboxes and calendars for two busy executives, prioritizing communications and scheduling
- Meeting Support: Attend meetings, generate AI-powered notes, extract action items, and distribute summaries to the team
- Client Communication: Handle routine client inquiries and questions with professionalism and clarity
- Task Prioritization: Identify and surface urgent tasks and deadlines to leadership
- Team Coordination: Communicate with the broader team (including Philippines-based bookkeepers) to ensure smooth operations
- Financial Systems Access: Manage sensitive financial data and legal case-related information with strict confidentiality
- Project Support: As you grow with us, take on project management and strategic operational responsibilities
Required Qualifications
- 4–8 years of executive assistant experience in a professional, scaling business environment (not mom-and-pop operations)
- Proven ability to establish operational rhythms without detailed SOPs—you know how to set the tone and infrastructure for executive support
- Fluent English (written and verbal) for clear communication with leadership and team members
- Experience handling sensitive/confidential information and background check clearance
- Strong critical thinking and ability to anticipate needs rather than just react to requests
- Familiarity with financial software (QuickBooks preferred but not required)
Preferred Qualifications
- Background working in financial services, accounting firms, or fractional CFO environments
- Experience with multiple time zones and remote team coordination
- Demonstrated growth trajectory and eagerness to evolve into project management/chief of staff responsibilities
